Top Ten Tips For Seminar Organisers
- Obtain details from the seminar presenter, including the abstract, title of the presentation, biographical details of the presenter, equipment needs (eg overhead projector) and a copy of the electronic presentation, if required, as soon as possible.
- Book the venue for the seminar and check out an unfamiliar venue beforehand. Ensure that:
- It is large enough and that it has the appropriate equipment.
- The data projector is working and that you know which plug goes where.
- There are fresh white board markers available.
- Contact local IT support if help is needed with multimedia or computers. Please do this well in advance.
- Organise refreshments (if required).
- Provide the date, venue details, allotted speaking time, name of the person hosting/sponsoring the seminar and any other pertinent details to the seminar presenter as early as possible. This will give the presenter time to organise himself or herself.
- Organise for someone to introduce the seminar presenter. This will be either the seminar organiser or the person who is sponsoring the seminar presenter, for example, an academic staff member or Head of School. This is extremely important for special guests to the College.
- Provide the person who is introducing the seminar presenter with a brief biography of the presenter to assist with the introduction.
- Organise for someone to facilitate questions (if necessary).
- Organise for someone to thank the seminar presenter at the end of the presentation.
- Ensure that the venue is returned to order.
- Obtain electronic presentation for publication on the Web.
